EquiTow connects horse trailer owners with people looking to hire a trailer, and we take the privacy of everyone in our community seriously.
We are the “data controller” for the personal data we hold about you. This means we are responsible for deciding how and why your data is used. We process your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Your name, email address, telephone number and postal address; Renters may be required to share/upload their drivers licence details; Account login details, such as your username and password; Details about your trailer if you list one for hire, including its location, specification and photographs; Messages and other content you send through the platform, including reviews and ratings; Any information you provide when you contact us for support or with an enquiry; Information collected automatically; Technical data such as your IP address, browser type, device information and operating system; Usage data about how you interact with our website and marketplace; Cookies and similar technologies (see our section on cookies below).
Payment information:
Payments on EquiTow are handled by our payment provider. We do not store your full card details on our own systems. Our payment provider processes this information securely on our behalf, and you can find more detail in the section on sharing your data below.
- How we use your data and our legal basis
We only use your personal data when the law allows us to. The table below sets out what we use your data for and the legal basis we rely on:
To set up and manage your account: this is necessary to perform our contract with you; To connect trailer owners with hirers and facilitate bookings and payments: this is necessary to perform our contract with you; To enable messaging, reviews and ratings between members: this is necessary to perform our contract with you and is in our legitimate interest in running a trustworthy marketplace; To provide customer support and respond to your enquiries: this is in our legitimate interest in helping our users, or to perform our contract with you; To keep the platform safe, prevent fraud and enforce our terms: this is in our legitimate interest in protecting our community and complying with our legal obligations; To send you service messages about your account or bookings: this is necessary to perform our contract with you; To send marketing communications where you have agreed to receive them: this is based on your consent, which you can withdraw at any time; To meet our legal and regulatory obligations, including tax and accounting requirements: this is necessary to comply with a legal obligation.

We do not sell your personal data. We only share it in the following circumstances:
With other members where necessary to arrange a hire. For example, once a booking is confirmed, a trailer owner and hirer may see each other’s name and relevant contact or location details so the hire can go ahead; With our marketplace technology provider, Sharetribe, which powers the booking platform on our behalf; With our payment provider, who processes payments and handles card details securely; With service providers who help us run our business, such as hosting, email and analytics providers, who act on our instructions; With professional advisers such as our accountants, insurers or solicitors where reasonably necessary; With authorities, regulators or other third parties where we are required to do so by law, or to protect the rights, safety or property of EquiTow, our members or others.
Where our providers are based outside the UK, we make sure appropriate safeguards are in place to protect your data, such as the UK’s International Data Transfer Agreement or equivalent approved mechanisms.
- How long we keep your data
We keep your personal data only for as long as we need it for the purposes set out in this policy. As a general rule, we keep your account data for as long as your account is active and for a reasonable period afterwards in case you return.
Where we are required to keep certain records for legal reasons, for example financial and transaction records for tax purposes, we keep that data for the period required by law, which is usually six years. After that, we will securely delete or anonymise your data.
